Why You Never Finish Your To-Do Lists at Work

LinkedIn released a survey last year that indicated that our professional to-do list is in urgent need of revamping. It turns out that we are not very good at "doing" what we told ourselves to do. In fact, almost 90% of professionals admit that they cannot complete all the tasks on the to-do list before the end of the average working day.

1. Keep a job list

To be honest: If you want to know all the work you need to do right away, you probably won’t find everything in one list. Instead, you have some sticky notes here, saved drafts in emails, sticky notes or text files on your computer, and one or two apps on your phone.


It is generally a good practice to separate work from work, but you must leave a place for work-related tasks. Therefore, choose the method of your choice and start the merge. It can be anywhere: a document saved on the desktop or an application on the phone.


2. Complete an important task before lunch (if possible, your least favorite one)

I admit it is difficult for me, but it works. Deal with a large and medium-sized task as early as possible, and if possible, solve it first in the morning. Nothing feels better than completing a difficult task before lunch. Author Brian Tracy called it "eating frogs", which was adapted from the famous quote of Mark Twain: "Eat live frogs in the morning, and then spend the rest of the day , The situation will not get worse."


3. Use your calendar as a to-do list

If you find that you always overestimate the amount of work you can complete in a day, then an effective way is to put to-do items on the meeting calendar, just like a meeting. Instead of summarizing your daily work on a list, schedule them and allow enough time for each time. When you try this method, also make sure you reserve time in your calendar to catch up with emails, brainstorming, or other important but undelivered tasks.


4. Reduce meetings to increase production time

Finally, despite all the above suggestions, if you find yourself unable to accomplish what you think you should do in a day, please consider whether you may need to modify your plan.


In fact, multiple surveys on the subject have reached similar conclusions that between a quarter and half of the time spent in a meeting is wasted, not to mention that you can’t really complete other tasks while sitting talking to others .


Solution: Limit the number of meetings. Before arranging a meeting, consider whether the problem can be resolved by email or phone first, or it can be resolved by entering someone’s office for a few minutes.


Restructuring and planning in advance are both upfront investments, but think about how happy you are when you actually get a to-do list for the entire day. So keep yourself organized, gather all your to-dos in one place, minimize distractions, and start conquering that (day-sized) list!
